The CA OM Board of Directors determines the need for an Ad Hoc director position. The number of ad hoc directors may vary, but at no time may the total number of director positions, including the ad hoc directors, be less than the minimum amount specified by the CA OM bylaws – currently eight.
The CA OM Board of Directors may determine at any meeting that there is no longer a need for a particular ad hoc position and they may eliminate it by a majority vote of the board present at the meeting, effective at the next summer planning meeting.
The person who fills each ad hoc position is elected by a majority of the CA OM Board of Directors. For ad hoc directors designated as "representatives", members of the group represented will nominate them. For all other ad hoc positions, any member of the board may nominate them.
All ad hoc directors are elected for a one-year term of office, running from the time of election until the next summer planning meeting. Ad hoc directors may run for reelection.
If any ad hoc position is eliminated by the CA OM Board of Directors, the person who currently holds the position eliminated will continue to serve as an ad hoc director until the next summer planning meeting or their resignation, whichever comes first.
The ad hoc directors shall represent a defined constituency or perform a function assigned by the Board of Directors and defined further in the policies below, beginning with policy 4.
All ad hoc directors shall:
(a) Represent the interests of their defined constituency or function to the CA OM Board.
(b) Communicate CA OM Board business to their defined constituency or function.
(c) Assist the CA OM Board with business based on their defined constituency or function.
(d) Perform all other duties, to further the Mission, Objectives and Purpose of CA OM, as may be assigned by the Board.
The Program Director shall perform the administrative functions associated with the CA OM program.
The Program Director shall:
(a) Work jointly with the State Director to assure that communication between the State office and the memberships, Regional Directors, and Board members is maintained.
(b) Coordinate with the associated global creative problem solving organization to assist in the full functioning of the CA OM program.
(c) Maintain the CA OM membership database.
(d) Work with Challenge Masters and Regional Directors to update and maintain the CA OM volunteer database.
(e) Prepare and send a Newsletter to CA OM members and volunteers at least four times per year.
The Challenge Master's Representative shall represent all designated CA OM state challenge masters to the Board of Directors. The Challenge Master's Representative must also be a State Challenge Master.
The Challenge Master's Representative shall:
(a) Communicate with all state challenge masters at least once per quarter, before each regularly scheduled board meeting, recording issues of interest or concern to the state challenge masters.
(b) Present these issues to the board during an agenda item summary presentation.
(c) Arrange for one or more organizing meetings with the state challenge masters to prepare for state sponsored judges training.
(d) Coordinate the training presented for regional judges as scheduled by the board or the State Director.
(e) Assure that records for regional challenge masters and their training status are maintained.
The Merchandising Director shall be responsible for coordinating merchandising materials presented for sale at CA OM functions.
The Merchandising Director shall:
(a) Determine appropriate sources for materials offered for sale at regional and state sponsored tournaments.
(b) Coordinate between regional directors to optimize group purchases.
(c) Assure that records for materials bought and sold are maintained for tax purposes.
(d) Stay within budgetary guidelines set by the Board.
The Alumni Representative shall represent former creative problem solving team members to the Board of Directors. The Alumni Representative must also be a former or current creative problem solving program team member.
The Alumni Representative shall:
(a) Present issues of importance to alumni to the board during an agenda item summary presentation.
(b) Assure that records of CA OM alumni are maintained.
(c) Coordinate with Web Master to assure that an Alumni Web site is maintained.
The Web Master shall be responsible for maintaining an accurate and timely web presence for CA OM.
The Web Master shall:
(a) Assure that information presented on the CA OM controlled web pages are accurate and up to date.
(b) Coordinate with regional directors or their designated representatives to create and update region specific pages.
(c) Coordinate with web masters from associated programs to assure that links and references are in place.
